    Resolution

     

    For the purposes of these steps we are using the names Clone 1 & Clone 2 as record types - these can really be any name

    Clone the Primary Field View of Main twice:
    1. Tools > Configure > Record Types
    2. Expand the primary fields views
    3. Right click on Main View and Clone
    4. Enter a name for the new view (Clone 1) and click OK
    5. Repeat the steps above for a 2nd view (Clone 2)

    Create the User Defined Fields on each Contact Set:
    1. Right click on the contact screen and change to the Clone 1 view
    2. Right click >> New Field
    3. Click the New Field button
    4. Enter a Field Name (must contain the U) and a description
    5. Click OK to save the field
    6. Click YES to rebuild when finished adding the last field if there are multiples

    * Switch databases to the 2nd contact set and do the same steps as above (ensure you change the primary view to the 2nd cloned Primary View (Cloned 2)


    Create a record type for each of the Cloned Views
    1. Within the Record Types Administration center, right click on Record Types and select New Record Type
    2. Set the record type name and Primary fields view (custom screen and GM+ view are optional)
    3. Click OK
    4. Right click on Record Types again and choose Save Changes
    5. Then click on Apply Changes on the toolbar

    Setup Record Type Rules based on Record Type field (key 1 by default)
    1. If the Record Type (key1) field doesn't appear on the Contact Screen, add it to the screen. 
    2. Open the F2 lookup list 
    3. Click New
    4. Create a F2 value of Main 
    5. Click ok
    6. Also create a value for Cloned
    7. Click ok

    * if necessary, use Global replace wizard to fill in the fields for Record Type for a contact set or group of contacts

    1. In the Record Types Administration center, right click on Record Type Rules and select Edit
    2. Rule Type Definition = Field value-based
    3. Record type fro new company/contact = (choose one, usually 'When creating a new record, automatically use the current record type in view')
    4. Click New at the bottom
    5. Choose the Field Value of Cloned/Main and choose rec. type Cloned Record Type/Main Record Type
    6. Click OK
    7. Right click on the Rule and Save
    8. Click Apply Changes on the toolbar
    9. Rebuild each database so that the fields can hold data
