    Can any default CONTACT1 field for example the Key4 field be changed to anything longer than the standard amount of characters?


    Resolution

    Default GoldMine fields cannot be changed from their default length in the database. It is advised to create a user defined field and global replace the data from the default GoldMine field to the new user defined field. Below are steps to create a new user defined field and use the Global Replace wizard to transfer data from the default GoldMine fields to the new user defined fields.

    NOTE: It is CRITICAL before proceeding to have SQL backups of the GoldMine database(s).

    NOTE: All users must be out of GoldMine when creating a new field as a rebuild of the database is required.

     

    Create a user defined field

    1. Login to GoldMine as a user with Master Rights

    2. Select Tools > Configure > Custom Fields

    3. At the User Defined Fields dialog box, select New

    4. Type a unique name, beginning with U, in the Field Name field (it can be up to nine alphanumeric characters                        in length, including the U)

    WARNING: The field name should not contain spaces or special characters, such as asterisks (*), an underscore(_) immediately following the U, apostrophe's ( ' ) or percent signs (%). Fields named in this way will not synchronize and will result in data loss

    NOTE:  The Field Name appears when inserting fields into Microsoft Word; therefore, make the field name user-friendly and identifiable

    5. In the Description field, type the field label to appear in the contact record

    6. At the Field Type options select one of the following:

        * Character - Formats data as a text string

        * Numeric - Formats data as numbers to run mathematical functions against

        * Date - Formats data as a date, month/day/year

    7. In the Len field, type or select a field data length. (The maximum length for a character field is 256; numeric is 16)

    8. The Dec field is available when creating a numeric field 

        * It sets the number of decimal places within the field. GoldMine assigns one character place to the decimal point in determining field length. For example, create a field that can accept hold values up to 9.99 by assigning a Len value of 4 and a Dec value of 2. This field applies to numeric data types

    9. Click OK

    10. Click YES when prompted to rebuild the database now

     

     

     

    Add the new User Defined Field to the GoldMine Screen

    1.   Login to GoldMine as a user with Master rights

    2.   Ensure you are on the Screen you wish to add the field to

    3.   Right click on the screen

    4.   Choose New Field

    5.   Select the new User Defined Field from the Steps Above

    6.   Click OK

    7.   Move the field into position on the screen where you want it to be

    NOTE: If the field turns RED it means it is overlapping another field and cannot be placed in that spot.

    8.   Once you have the field in position, click anywhere else on the screen where there is not another field to snap the new field into place

    9.   The field properties box will appear, click OK

    10.  Click EXIT on the screen designer toolbar to return to the normal Primary Screen view

    NOTE: If the new user defined field contains an N/A where data should be, the rebuild process was not done successfully and this field cannot hold data.

     


     

     

    Use the Global Replace Wizard to move values of One field to Another

     

    NOTE: It is CRITICAL before proceeding to have SQL backups of the GoldMine database(s).

    NOTE: You must make sure the field you are Global Replacing values to is long enough to hold the values you want it to before applying the Global changes.

    1.   Login to GoldMine as a user with Master rights

    2.   Click on Tools >> Data Management >> Global Replace

    3.   Choose Exchange the Value of 2 fields >> NEXT

    4.   Choose Replace the Value of the left field with the value of the right field (if you want the old field to be blank choose the first option to exchange the values of both)

    a.   Update this field (left) will be the User Defined Field

    b.    With this field (right) will be the Contact1 or Contact2 field (e.g. Key2)



     

    5.   NEXT

    6.   Verify that the fields are correct: replace User Defined (uGold) with Contact1 (Key2) >> NEXT

    7.   Choose All Contact Records in the database or choose the option for a Filter or Group >> NEXT

    8.   FINISH
