Is there a way to do a single entry for multiple contacts to add in a Detail record on the Details Tab?

Version 2

    Details

    - Is there a way to do a single entry for multiple contacts to add in a Detail record on the Details Tab?
For example, you want all contacts that attended a specific trade show to have a detail record?

    - This would be desired as it is much effort to create for every single contact separately and manually a detail record.

    Resolution

    - The following article contains the steps how to achieve the desired outcome, please download the attached document for the steps including screenshots

    [INFORMATION]

    - This is possible  but requires as first step an automated process setup with the specific action (Create Detail / Add Detail) and entering the desired data into the automated process for the (extended) detail.
    - Once the automated process is setup it can be executed for a single contact record, a contact filter, tagged records or a contact group.

    [PREREQUISITES]

    - Having already an (extended) detail setup in the GoldMine system - as an example here as an (extended) detail 'Trade Show' which is setup in the following way

    [STEPS TO PREPARE]
    1. Tools > Automated Processes > Manage Processes...
    2. If applicable select the appropriate User from the user drop down
    3. Right Click on Automated Processes > New or alternatively the New Automated Process icon from the Automated Processes Center's Toolbar
    4. Provide a Process Name (this should be identifiable also for other users) and Process Code > Next
    5. Set the desired / appropriate Options for the Process > Next
    - Please refer to the Online help via Help > GoldMine Help > Administration Guide > Automated Processes > Creating Automated Processes for further information
    - The following is a most likely view for options for this specific use case
    - Allow only one attachment of this process per contact + Execute this process immediately upon attachment + Allow users to attach this process
    6. New Button (for creating a new Automated Process Event)
    7. Setup the Event Properties
    - Please refer to the Online help via Help > GoldMine Help > Administration Guide > Automated  Processes > Creating Automated Processes for further information
    - The following is a most likely view for options for this specific use case.
    a. Provide an Event Description and select the Sequence type and Sequence number in the Event section - in this use case no other steps are considered and expected as only a detail record should be created therefore there is no need to change any details in Event section
    b. Provide a Trigger on value from the drop down in the Trigger section (other options depending on the use case and Trigger on selection) - in this use case the detail should be created without any condition and immediate, therefore the Trigger on is set to Immediate
    c. Provide the desired Perform Action from the drop down in the Action section - in this use case an (extended) Detail should be created, therefor select Create Detail
    8. Options Button in the Action Section and enter the desired Details information > OK
    a. Select the desired Detail, for example 'Trade Show'
    b. Provide the Reference, for example the Trade Show name
    c. If applicable provide data in the Info tab of the Detail
    9.  OK > Next > Finish (for this specific use case as no other events are necessary)

    [STEPS TO EXECUTE THE AP]
    - Once the Automated Process is setup it can be executed for

    A. A Single contact record by attaching it on the contact's Processes Tab
    - This is also recommended in order to test the Automated Process
    - Also other possibilities are possible for single contact records for example, select Scan current contact or use instead the menu Tools > Automated Processes > Assign a Process...
    1. Browse to the desired contact record
    2. Browse to the tab Processes on the contact record
    3. Right Click > Attach a Process
    4. Select the specific Automated Process
    5. OK (for this specific Automated Process the Attaching User is not important, usually the current user will be used)

    B. A Contact Filter, Contact Group or Tagged Records
    - Contact filters and groups can be either already activated or later selected in below steps, when executing an automated process for tagged records, these records need to be tagged prior the following steps
    1. Tools > Automated Processes > Execute Process...
    2. In the Automated Processes Execution dialog select the
ii. Desired contacts (usually a contact filter, contact group or the active contact filter)
ii. Desired Scan Method - for this specific use case Scan once should be retained
iii. Desired Options - for this specific use case no further options are necessary
iv. Activate the Attach Process to selected contacts and select from the drop down the specific automated process in the Attach process to selected contacts
    3. Process

    [RESULT]
    - The Automated Process creates on the selected contact record(s) an (extended) Detail with the provided information

    [ADDITIONAL NOTES]
    - It is recommended to verify the (extended) details information on a/several contact records after executing the automated process
    - The execution of an automated process cannot be reverted (only stopped in the Process Monitor Window), it is highly recommended to test an automated process either on a single contact record or on a small group of contact records
