Is there a way to make an action instance function like a note?

I want to be able to Create a new problem in problem Management, but as we investigate the problem I want to be able to use a from in the same way a note is used so. I want to be able to click a button that says "Update problem" and have it pull up a blank form and then at the bottom have each update saved like a note so I can go back and view each update on its own. Our work flow here is that we make many updates during an investigation into a problem and each update needs to be emailed out to different parties. I already have the form created for "Update problem" But each time we click it, it brings up the window with the text to the prior update, which is not what we want.

Sounds like you need to create a new collection, but let me make sure i understand what you are asking.  When you click "Update Problem"  should this open the exact same Problem Form as when you click Create a New Problem or are you looking at having it open a new window with random fields for details and other attributes?

I think it should be a new form. Right now I have one form that has all the fields I need, but I think what I want to do is create the Problem with a basic description when you crate a new problem, and then have Update Problem open a new form with all of the fields I need included on the email. So  all the work being done would be recorded in the Update Problem. I am pretty new with LANDESK, is setting an action as a collection? I saw that option at some point but I can't remember if it was under action.

I been reading the designer guide and I think I get the idea behind collections.

Is it that I need to create a brand new Business Object and then link "Problem" to it? Along with whatever fields I want and make it a collection?

Basically, you would create an Object in Object Designer within the Problem Module, call this Object something relevant.  Oh, of course this is all done in a development environment, not production first!  This Object will have some basic items and you can create additional fields as you like.  Then go to Window Designer, find the object you created in Object Designer, build the window how you would like.  You can then go to Process Manager and add it onto a status or in the process.

This is a very basic and general overview of how to build the collection/object, so what you may need may differ.  One thing I will offer is to make sure what you build, you think how this might be used in the future.  Try not to corner yourself or prevent further buildout if needed.

                I hope this helps.

Yea, I actually started making a bit of progress on this. I looked at a collection LANDESK consultants created for us in Incident Management and took ideas from that. I may post some examples of what I have done when I make it a bit further. Thanks for the response.

Ok, so I created a new window just for the updates and now I am at the point where I want to associate the windows in the Process. One thing I can't figure out though is, I want one window for when we open up a problem and another for updating. So currently under Problem Management > Problem I have this Window set as the default Window:

                    2015-04-07_17-41-08.png

But then I created this window that I want to associate to the Update Problem Action

                    2015-04-07_17-43-17.png

I already created an action called "Update Problem" before I realized it was not going to work with the window we have. Is there a way to associate this window to the existing action but keep the default window as the first window so that when we create a problem that form comes up?

Maybe consider option with journal, as is descriebed by Andrew here: Can  a group box be collapses as default?

Ah, so you cannot have multiple forms within one process?

If I need to use one form that might be ok. If I have the collections on the same page though, will it save the non collection data on screen but have a blank form for the collections each update?

I just thought of this, if I create a new Business Object like "SaveProblemUpdates" couldn't I add the collection in there and associate another window to it?

                            Ok last update for today

I remembered that views control the forms, so I changed the form that opens during the Update action to the new Update form. When I load it though, all the boxes that correlate to the collection are grayed out.

Is there any reason you can't use notes?

In Window Designer is the new window set to read only?

Is this a new collection or did you build the window under the Problem Object?

So I am understanding correctly, when you open the ticket to review what is going on, you want to see the original form, but have an action to record new updates, then have that data display in a tab on the bottom of the window... Correct?

I like what gramsay questioned about using notes, but see where someone might not want to.  It is essentially building the same thing.

Ideally I want the forms to be slightly different.

When we open a new Problem, you see how in my screen shots when you open it there will be "Description", "ETA", "BusinessOwnerRef", "TechnicalOwnerRef" and "Goal". Basically, my team is in charge of investigating problems so those two fields will be pretty static once set. We describe the ticket, and then set the goal of the investigation. This will open the problem, and we will have an email send out to the Business and Technical Owners with the info on the problem at a very high level.

Then in the second form I have "Work Done", "Next Steps" and "Next Update" this is where we would update the Problem in a collection of all that we have done, and this will also get emailed out to the Business Owner and Technical Owner.

The reason I am using this instead of just a Note is just the formatting of the email. I want to be able to store different data in these different fields and then have the template send out the emails in a format they are accustomed to. So rather than formatting the Note out each time, I would let the Reminder pull the fields out to email, if that makes sense.

To create the collection, I created a new Business Object under Problem Management called "UpdateProblem" then linked it into the Problem Business Object under the same name. When I create the form, I am inserting the fields from the collection within the Problem Business Object. How do I check if the window is read only? The entire window must not be, because I can update anything that is not part of the collection.

I just noticed something. I created the UpdateProblem Collection by dragging the business object into the Problem Business Object and it asked me if I wanted to create a collection. This looks different than Note though, why does it come up as "Relationship Type", "Object" instead of "Collection"? Could that be the issue?
