    Note category filtering

      I have 2 special categories of notes - Private & Technical

      I would like to be able to display both technical notes & private created by the current user to each analyst, while still hiding private notes created by others.

       

      My query setup was this:

      1 - Category.Title is not equal to Private Note

      2 - or Category.Title equals Private Note

      3 - and CreatedBy is Current User

       

      I also tried adding advanced settings

      1 or (2 and 3)

       

      showing nothing, even though the filters seem to be what I want.

       

      Any suggestions on how to get this to work?

          Dave,

          Try to do something like this

           

          Category.Title is ONE OF "Private" "Technical"

          CreatedBy is Current User

            Tested - this gives me Private & technical notes by the current user, but I definitely need more.

            I need analysts to see

            Private notes by current user (they can only see their own), & all other notes by anyone.

              Would the advanced conditions be - assuming the following conditions have been added:

               

              1. Category.Title is ONE OF "Private" "Technical"

              2. CreatedBy is Current User

              3. Category.Title is NOT ONE OF "Private" "Technical"

               

              (1AND2) OR (3)

               

              Also, I am assuming that there is only one level to your category so the title == fullname?

                Technical & Private are the only level for those.  There are other categories that do have sub-levels.

                  I tried that & created a "Notes - End User" filter, added it for Incident - Notes - filter selectors as Web Only

                   

                  For Analysts, I set this instead

                  Category.Title EQUAL TO Private Note

                  CreatedBy is Current User

                  Category.Title is NOT EQUAL TO Private Note

                  (1AND2) OR (3)

                   

                  I also added the "Notes - Analyst" filter to the Incident - Notes - filter selectors & set for ANY.

                   

                  If I login as another analyst, I can still see private notes created by me or other analysts.  I can also still see all notes listed when logging in as an end user to the web console.

                    I have just created a new filter and set up the criteria as per your requirements (but using different category values) and it is working as you require.

                     

                    Step 1

                    Create a new filter based on

                    Incident Management - Note

                     

                    Incident Management - Incident

                    Added the criteria as below (with different category names)

                    Step 3

                    Added the filter to the incident form

                     

                    Step 4

                    Tested with two different users and by adding noted with different categories

                      Right off the bat, I see a difference in what I created originally. 

                      In the criteria, I had put

                      Category.Title EQUAL TO Private Note

                      AND  CreatedBy is Current User

                      OR  Category.Title is NOT EQUAL TO Private Note

                      with the same advanced conditions as you...

                       

                      I see you have used AND for all 3 conditions in the basic settings.  That may be the key.  I am re-building now to test it.

                        No dice - criteria & filters set.  If I login as a different analyst, I can still see a Private note entered by another analyst.  Do I need to create a separate Notes object  link in Incidents to do this?

                            Unfortunately there isn't a list of what works/doesn't work in Workspace, so your option at the moment is to try it.  Then if it doesn't work be prepared for LD to say that Workspace is functioning correctly and to ask you to raise an ER for it to behave differently.  Personally I'd say LD should choose WebAccess as the default functional model and make Workspace behave like that.  Any difference would then be a bug or on a documented roadmap.  Bu then I am old and cranky :-)
