as far as I know, there is no option to change this behavior to use a group instead of a role. But maybe you can work around that problem if you simply use a query instead of the search bar in the upper right.
At first you need a group attribute on your article (either a simple reference list or as many-to-many collection, depends on if an article is only for one group or can be for many groups). Then you can add a new query, based on the Knowledge Management - Article object. Add some criteria that you want to search for (prompt user to specify value) and last, but not least, add the group-attribute you added before, to the criteria to your query and select "is within my groups".
So anyone who can access the query may search for articles, but only the ones where one of the users groups is registered.
I hope it helps!
This doesn't seem to me to be that difficult especially since you are already using Knowledge domains
Why don't you just extend you knowledge domain category tree to suite and then put each of your groups against the knowledge domain hierarchy you want them to see?
Not sure want you exactly want but you can restructure your domain category tree to however you want and maybe something akin to this sort of multi-level design might help?
Support Group 1
Support Group 2
Support Group 5
Support Group 3
Support Group 4
Company Group 3
Company Group 1
Company Group 2
Company Group 4
I am using the create group attribute on the query, however,, i believe this is not the attribute i need.
To explain a little, currently, the knowledge management is setup the following way.
When opening an article, the group that is select as "current group" on the top right hand side is the group were the article will be assigned to, so, you can only open records for groups which you belong to:
You can then on "knowledge domain category", select to share with an analyst, end user, or All:
My objective is, to remove the "Analyst, end user, all" from the list and replace with groups, departments etc.... that way, the article can only be viewed from the group we selected in the "knowledge domain category" and not the group from the "current group" value on the top right hand side of the screen..
As we are having end users coming onboard which cannot see information outside their group nor other users see articles from their group.
Hope this helps.
Many thanks for your feedback.
I think i set smomething similar but didnt work as expected and now im a little lost.
Would it be possible to view my response to Andreas with what i current need as an outcome?
Many thanks in advance!
You should just need to setup your category structure and then against each of your groups (any of the 4 group types for that matter) in the "administration" module you can add the knowledge domain branches you want them to be included in. Then when you publish an article then the group would se it if there is a match.
I believe that is what i have setup but it is not working.
All users can still see the article though.
The following group is related to the Knowledge Domain Category
I have created an article with this Knowledge domian category, however, the create group remain the group on the top right hand side (cannot change - read only)
Once published and approved, i have tested with the following users (Should only be visible to "Landesk_enduser"):
Landesk_enduser view is ok:
Landesk_analyst can also view:
Landesk_manager1 can also view:
What happens if you do a search for the article outside of a query gadget like in the Search bar.. are the results different?
The gadget is just a query on the Article Business Object.
The Search box searches the knowledgebase share; have you rebuilt the knowledgebase (in Knowledge Administration) since you changed the knowledge domain design?
I have set the rebuild to occur automatically once a day.
I have also just rebuild again but get the same results.
I believe i have to query on the knowledge domain category, but i cannot get any condition type equal to "within my categories".
You may have to try some combination of within my groups since KDC is tied to groups. I'll take a look when I get in front of my system.
Really appreciate it.
I will test also with different combinations to test.
