    How to move history items from one company to another?

      We had an additional contact with email address that was entered under the wrong company.    I discover this we I went to added him to the correct company.   I selected the option to move the email address and was hoping all the history items (linked emails) would move with the email address but they did not.   I can relink them in Outlook but I was hoping for a method that would move all 50 or so emails at once in Goldmine.

          Hi Mike.  This is a two-step process.  Before you proceed you will need to see if you have the rights to access Tools > Data Management > Merge/Purge Records > Merge Tagged Records option from the menubar.

          1. Create a new record from the additional contact
            • Right-click on the contact in the additional contacts tab of the wrong company record, select Options > Convert to Record.  This will create a new primary record of the contact will (most) all of it's history.
            • In the Convert to New Contact Records select the first option (Convert <Contact> to a new record)
            • Check the boxes for 'Remove converted records from the Contacts tab' and 'Move related activities to a new contact', uncheck the 'Include' converted contacts in the organization tree'.
          2. Merge the contact with the correct company
            • Make sure the company name of the newly created contact matches close enough to the correct company name so that both will appear in the Contact Search Center (CSC) together
            • Once you have both appearing in the CSC, tag the Company that is the correct company the additional contact should be connected to (tag = check the box at the left of the row)
            • Next, tag the newly created contact that should be the additional contact
            • From the Tools menu, select the Tools > Data Management > Merge/Purge Records > Merge Tagged Records option

            Since you said you already moved the email address to the new contact, you need to move it back to the previous contact first. Then follow Joseph's steps above.

                You can also move individual History records.  Edit the record and click on the [>] button to the right of the contact name.  You'll be presented with a Search Center window whereby you can locate and select the destination record.  The target history item will then be moved to desired contact Record.

                  I'm not at all sure these are the correct answers based upon how I read your question:  I selected the option to move the email address and was hoping all the history items (linked emails) would move with the email address but they did not.

                   

                  If I'm correct in my reading then you only want the History associate with the Linked E-mails for that Contact, and that Contact only.  The only way that I would know to do this would be to Relate their E-mail to the History, and then Globally Replace the AccountNo in the History Table with the Contact's new AccountNo.

                   

                   

                  Of course all this is moot if I'm not reading your question correctly.

                    if the e-mail address has already been moved, you might be out of luck -- at least as far as moving the items via the GoldMine interface's built-in tools.

                     

                    If you put the e-mail address back on the appropriate additional contact, you can then right click on the additional contact and select to convert it to a full contact record.  Be careful in this area as you could end up converting ALL of the additional contacts (and that would be BAD.)  When you choose to convert an additional contact, you will be presented with options to take the history associated with that additional contact with it to the new full contact record. 

                     

                    If your e-mails are properly associated with the contact (and previously moving the e-mail address didn't break that) they ought to go with the contact and appear on the history tab of the newly created full contact record. 

                     

                    Once you make a full record out of this person, you can then subjugate them as an additional contact to the correct company by giving them the correct company name, search for and tag the new company (first) and this fresh contact.  Then use the merge tagged records functionality to merge them into an additional contact on the correct company. 

                     

                    If all went well, your additional contact, their e-mail address and all those historical e-mails will then appear on the appropriate record.  If not, well..  Something went wrong -- and be aware that there are many points in this operation where something could go terribly wrong and make scrambled eggs out of things..  So, verify your backup, read the prompts carefully and give it a whirl.
