How to "Fast file" many open emails in one time

    dariobavicchi1 Apprentice

I discover that some user forget to file their emails after reading/managing  it.

This created a mess in many contact records where i found a long stack of pending emails.

My question is if it's possible to find a way to file it without process them one by one manually.

I looked at Automatic processes by i have'nt found a way to do that.

I tried also to use the activity list but there i can select and file only a single row each time.

What i mean is a process/routine to "fast file" pending emails older than XX days

      It's possible?

Obviously we'll need then to teach our users how to manage correctly emails.

      Thanks fior help

That can be done from the Activities List tab:

At the top select the user.

On the left select E-mail > Inbox

At the top do the drop down under Links and select Auto-Update.

Choose 'Complete selected Activity Type(s) Only'.

Uncheck all activities except E-mails (Internet).

Check the Date Range box and set the range.

Click OK and answer yes if you are sure.

Note that you can also do this on the pending tab of an individual contact.

Say you have a contact with 100 pending activities where maybe 75 of them are e-mails you wish to fast-file.
Go to that contact's pending tabRight click and select options|auto-update

Select to Complete the selected activity types only

              Select only e-mails

Specify a particular date range to further limit the scope

              OK!

These are great ways to handle this issue, and will take care of it if you want to mass complete e-mails by the criteria available in the onscreen form

If you want to have subtler control over which records you complete or delete, consider using MMUpdater from MasterMine (www.mastermine.net).  There you can use any criteria in GoldMine to pull together, group and select the target records for completion.  In fact, you can conveniently start by assessing your system globally, so you find all of the abandoned pending or history records, emails, etc. and file or delete them as appropriate.
